Who we are

TailBridge is clinic software for veterinary clinics in India. It is run by [legal entity name], [registered address], Hyderabad, Telangana (“TailBridge”, “we”, “us”).

In this policy, “you” means a person whose personal data we handle: a clinic owner or staff member, a pet owner who visits a clinic that uses TailBridge or uses the TailBridge app for pet owners, or a visitor to this website.

Our two roles

The law treats us differently depending on whose data it is and who decides how it is used.

For clinics' records, we act for the clinic

Your vet clinic decides what to record about you and your pet: visits, notes, prescriptions, vaccines and bills. The clinic is the Data Fiduciary for these records. We are its Data Processor: we store and process them only on the clinic's instructions and under a written agreement with the clinic.

For our own purposes, we are responsible

We are the Data Fiduciary for clinic staff accounts, pilot and sales enquiries, website visits, the WhatsApp messages we send from TailBridge's number on a clinic's behalf, and your account in the TailBridge app for pet owners: your sign-in, the notifications on your phone, your reviews of clinics and the pet card links you make.

If your question is about your pet's medical records at a clinic, you can ask the clinic or us. We will pass the request to the clinic and help it respond.

What we collect and why

Pet ownersName, mobile number, preferred language, address if the clinic records it, and the records the clinic keeps about your pet's visits, vaccines, prescriptions, bills and paymentsSo your clinic can book and treat your pet, keep its history, bill you and remind you on WhatsApp when a vaccine or follow-up is due
Pet ownersYour consent choices, and WhatsApp delivery and read status of messages sent to youTo send only the messages you agreed to and to show the clinic whether a reminder reached you

Everyone using the clinic appDevice type, app version, error reports and when each device last syncedTo keep offline sync working, fix errors and protect against misuse

Information about a pet on its own is not personal data. It becomes personal data when it is linked to its owner, so we protect it the same way.

We do not sell personal data, show advertising, or use a clinic's client list to promote any other clinic.

Who we share it with

We share personal data only with the clinic it belongs to and with service providers who help us run TailBridge, under contracts that limit them to that work:

  • Amazon Web Services, Mumbai region: hosting, database and file storage.
  • Meta Platforms (WhatsApp Business Platform): delivering reminders, bills and prescriptions on WhatsApp.
  • Razorpay: UPI and card payments and payouts to clinics.
  • Expo (650 Industries, Inc., United States), Google Firebase Cloud Messaging and Apple Push Notification service: delivering notifications to the TailBridge app on your phone.
  • Hostinger: TailBridge's own email, which sends clinics their TailBridge invoices.
  • Jitsi Meet (8x8, Inc., United States): video follow-ups between a clinic and an owner, when the clinic uses them. The call's sound and video pass through Jitsi; TailBridge does not record calls, and Jitsi receives no records, only the call itself and the name you show in it.

Your records at one clinic are never shown to another clinic unless you choose to share them, for example when you are referred to a specialist. We record each time shared records are opened, and the clinic that wrote them can see that log.

We may also disclose data when the law requires it, such as to a court or a government authority with a valid order.

Where it is stored

We store TailBridge's databases, files and backups in India, in AWS's Mumbai region, with a backup copy in a second Indian region. WhatsApp messages pass through Meta's systems, which may process them outside India, as for any WhatsApp message. Notifications to the TailBridge app pass through Expo and through Google or Apple, which may process them outside India; a notification carries the clinic's name and a short message, such as the clinic's reply. A video follow-up passes through Jitsi's servers, which may be outside India.

How long we keep it

  • Clinic records are kept for as long as the clinic uses TailBridge. When a clinic leaves, we give it a full export and delete its records within 90 days, except backups, which expire within a further 30 days.
  • Invoices and payment records are kept for eight years to meet Indian tax and accounting law.
  • Enquiries from people who do not become customers are deleted after 12 months.
  • Security logs are kept for at least one year, as the DPDP Rules require.
  • Your TailBridge app sign-in lasts 30 days. Your phone's notification token is deleted when you sign out or delete your account.

How we protect it

Each clinic's data is kept apart at the database level, so one clinic's staff cannot see another's. Data is encrypted in transit and at rest, staff accounts use passwords and two-step login for administrators, and every change is logged. We back up every night and test restoring from backup.

If a personal data breach happens, we will tell the clinics and people affected without delay, explaining what happened, the likely effects and what you can do, and report it to the Data Protection Board of India as the law requires, including a detailed report within 72 hours.

Your rights

Under the Digital Personal Data Protection Act, 2023 you can ask us to:

  • See a summary of the personal data we hold about you, what we do with it and who we have shared it with.
  • Correct, complete or update data that is wrong or incomplete.
  • Erase your data when it is no longer needed for the purpose you consented to, unless the law requires us to keep it.
  • Delete your TailBridge app account at any time, in the app (Settings, then Delete my account) or as described on Delete your TailBridge account. Your clinics keep their own records of your pets' care; ask them, or us, to erase those.
  • Nominate someone to exercise these rights for you if you die or cannot act yourself.
  • Complain to us, and then to the Data Protection Board of India if you are not satisfied.

Write to privacy@tailbridge.in from the phone number or email we hold for you, or ask your clinic. We will confirm who you are before acting, reply as quickly as we can, and resolve every request within 90 days.

Children

TailBridge is meant for adults. Clinics should record the parent or guardian, not a child, as the pet's owner. If we learn that we hold a child's data without verifiable consent from a parent, we will delete it.

This website

This website sets no cookies and uses no advertising trackers. It keeps two small settings in your browser: your cookie choice and, if you use it, “Reduce motion”. Analytics run only if you allow them in , and none are installed today. Its typeface, images and scripts are served from our own site, so opening a page shares nothing with other companies. Our cookie and storage notice lists everything.

The demo forms only prepare an email in your own email app; nothing is sent until you send it. Sending one agrees that we may contact you by phone, email or WhatsApp about the demo.

Changes to this policy

When we change this policy in a way that matters, we will tell clinics by email and in the app at least 30 days before the change takes effect, and update the date at the top of this page.
